Stop losing guest enquiries: a simple lead system for hill-station hotels
Most small hotels don't lose bookings to competitors. They lose them to missed calls and forgotten messages. Here's the simple system we set up instead.

Ask any hotel owner in Darjeeling where their bookings come from and you'll hear the same list: walk-ins, phone calls, WhatsApp, a few OTAs, and "people who found us on Google".
Now ask where the enquiries that didn't book went. Usually nobody knows.
That gap is where most small properties quietly lose money. Not to a better hotel down the road, but to a phone that rang during check-out, a WhatsApp message that scrolled out of view, or a website form that emailed an inbox nobody opens.
The three things every enquiry needs
A guest enquiry is only useful if three things happen:
- It gets captured. Name, phone number and dates, saved somewhere permanent, not in someone's head.
- It gets seen. By the person at the front desk, on the screen they already use.
- It gets a call back. Fast, and marked as done so it isn't called twice or forgotten.
What we set up
For Hotel Teesta we built exactly that, and nothing more complicated than it needs to be:
- The website asks for a phone number early. As soon as a guest starts looking at dates, we save their details, even if they never finish booking.
- Every enquiry is stored in a database. We use Supabase, which is secure, inexpensive and easy to export from.
- The front desk sees a simple sheet. Each row shows the guest, their dates, and how far they got: details, rooms, review, payment, booked.
- Staff tick it off after calling. That one checkbox is what turns a list of names into a habit.
The best lead system is the one your front desk actually uses. Start with a sheet, not a dashboard.
Why "how far they got" matters
Someone who only typed their phone number is a different call from someone who reached the payment step and stopped. The second guest almost certainly wants the room. A friendly call ("Did something go wrong with the payment? I can hold the room for you") often saves the booking.
Start small
You don't need an AI bot on day one. You need every enquiry written down and seen by a human. Once that is working, a booking bot can answer the easy questions at 2 a.m. and hand the warm leads to your team in the morning.
If you'd like this set up for your property, book a call.
